Hours of Operation
Events (including set-up) may start no earlier than 8 a.m. Monday through Friday and 9 a.m. on weekends. Noise levels must be minimal by 10 p.m. Sunday through Thursday, and by midnight on Fridays and Saturdays. Extension of these hours is only permitted with prior approval from the International Scholar Assistant of the International Center. Additional time will be scheduled after the event's end time to allow for clean-up.
Use of Furniture
Existing furniture may be arranged in a variety of ways. Available furniture includes: couches, upholstered chairs, folding chairs, and both round and rectangular tables. Additional furniture may be brought in if necessary.
Kitchen/Dining/Patio/Barbecue Usage
1. Only one item may be plugged into the dining room outlets or the metal serving counter between dining room and kitchen due to circuit capacity.
2. Bones, celery, cabbage, coffee grounds, rice, pasta, etc., should not be put into the garbage disposal.
3. Available space in the refrigerator may be used during the event only, and all items must be removed at the end of the event. Do not assume that there will be room here to store the items left behind. We cannot guarantee that these items will be saved.
4. Red and pink wine, punch, or any other beverage that may stain carpets, are NEVER permitted.
5. All UC San Diego policies and procedures regarding food and drink will be followed.
Parking
Parking permits are only required at UC San Diego during weekdays, including evenings and Fridays. Except for weekends and holidays, ALL VEHICLES MUST HAVE A UC San Diego PARKING PERMIT. Daily (one-time) parking permits are available for purchase the Gilman Structure Parking Office, located on Russell Lane. Use of the lot adjacent to the International Center is not permitted before 5 p.m. on weekdays. Weekday evenings after 5 p.m., users may park in the lot with a UC San Diego parking permit (an &quoJune 30, 2008 only). On evenings, weekends, and holidays, the lot may be full unless reserved through the UC San Diego Transportation and Parking Services office. You can call them at (858) 534-0277 for information on current parking fees and policies.
Keys
Keys to the International Center facility will be in the custody of the reservation crew person on duty during each event.
Smoking
Smoking is prohibited inside University buildings. Smoking is also prohibited within 50 feet of any building.
Use of Alcohol
Users must adhere to campus policy (PPM510-1). A UC San Diego Use of Alcohol and/or Malt Beverages Approval Form must be fully completed, submitted and approved three weeks before the event (or at the time of the booking, if it is within three weeks of the event). Student organizations must go through their advisors regarding alcohol use.
Audio/Visual Equipment
If audio/visual equipment is needed, users must make their own arrangements with the Media Center or bring in their own equipment. We only provide slide screens, which are permanently mounted in both the lounge and dining room.
Clean-Up
Users are expected to return the International Center to its original neat and clean condition. Failure to leave the Center in good order may result in additional charges and/or denial of future usage. Caterers should remove equipment before the user group leaves. If caterers do not clean up properly, then users are responsible for clearing off all the tables so reservation crew staff can store then. Users must also neatly stack caterer's dishes, tableware, and tablecloths on the kitchen counter and scrape dishes clean of leftovers into trashcans.
International Center Contact
All questions or suggestions should be referred to the International Center International Scholar Assistant at (858) 822-0464. Any exceptions to these policies must be pre-authorized by the Director of the International Center.
Security/Event Crew Assistance
For events occurring after 3:30 p.m. weekdays, or on a weekend or holiday, users will be assigned and charged an hourly rate for a security/event crew person. This will normally include one-half to one hour before and after the event for set-up, clean-up (including breakdown of the furniture) and lock-up.
His/her responsibilities include the following:
1. Setting up furniture (as diagrammed by the users prior to the event).
2. Being available on-site throughout the event; keeping the event coordinator aware of his/her whereabouts.
3. Providing access to the first aid kit and supplies such as dishtowels, light bulbs, cleaning and restroom supplies, and trashcan liners.
4. Cleanup of restrooms.
5. Limited assistance with group's own clean-up; returning furniture to original positions and/or storage; final clean-up (including taking trash to outside dumpster); facility lock-up, etc.
6. At any sign of trouble, the security/reservation crew person will locate the event coordinator and discuss the situation. If the situation does not come to a satisfactory resolution, the crew person is authorized to call for assistance.
